Store Facilities Coordinator

Within the four walls of all of our stores is where the magic is made! We are looking for someone to help support the needs of Hot Topic, BoxLunch, and Torrid stores on the repair and maintenance front. This person will follow up with service providers to ensure timely resolution to all repair and maintenance store issues. This will also include processing a large volume of invoices within approved limits.

This role operates on a hybrid schedule and will require to work from our HQ located in the City of Industry, CA 2-5 days a week.

PAY RANGE

$22 - $23.50

Please note the pay range for this position starts as listed in the job posting, but other factors such as an individual’s education, location, meeting the minimum job requirements for the role, training and experience, will determine the final salary for potential new hires.

WHAT YOU'LL DO

  • Dispatches appropriate contractors and assists stores with submitting requests on the R&M dashboard
  • Responds to store inquires and requests within 24 hours to ensure timely completion 
  • Reviews open repair and maintenance store issues to ensure vendors are providing updates every 48 hours with current status until work is completed
  • Communicates and follows-up with stores on all work in progress as needed until satisfactorily completed
  • Run CMS reports to monitor vendor performance, close out of completed work orders and to ensure service level agreement is met
  • Maintains CMS store address database and assigns all scheduled preventative maintenance services. Enters new stores and retires closed locations as required
  • Analyzes and approves proposals within approved limits
  • Reviews and approves high volume of invoices for payment
  • Answers general questions from service providers and A/P regarding payment status
  • Distributes current store list to vendors monthly
  • Performs other job duties as needed

WHAT YOU'LL NEED

  • Experience with Maintenance or construction is helpful but not required.
  • Beginner to intermediate computer skills, specifically Microsoft Word and Excel.
  • Illustrates a dedication to meeting requirements of internal and external customers, responding to all customer requests promptly and thoroughly.
  • Strong communication skills including ability to work in a team environment, give honest, direct feedback and is a solid verbal and written communicator.
  • Meets deadlines, prioritizes appropriately, copes well with change, and maintains composure under pressure.
  • Accountability for results, approaches obstacles proactively and looks for ways to resolve problems and issues.
